Outlook Desktop App (Windows)
- Open Outlook.
- Click the Calendar icon in the lower-left corner.
- On the ribbon, select Share Calendar.
- Choose the calendar you want to share (typically Calendar).
- Enter the name or email address of the person you want to share with.
- Select the permission level:
- Can view when I'm busy – Availability only.
- Can view titles and locations – Shows meeting subjects and locations.
- Can view all details – Full read access.
- Can edit – Allows modifying calendar entries.
- Delegate – Can manage your calendar on your behalf.
- Click Send.
Modify Existing Permissions
- In Calendar view, right-click your calendar.
- Select Sharing Permissions.
- Add, remove, or modify permissions as needed.
- Click OK.
Outlook on the Web (OWA)
- Open Outlook on the web: https://outlook.office.com
- Select the Calendar icon.
- Under My Calendars, hover over the calendar you want to share.
- Click the three dots ( ... ) next to the calendar.
- Select Sharing and permissions.
- Enter the person's name or email address.
- Select the permission level:
- Can view when I'm busy
- Can view titles and locations
- Can view all details
- Can edit
- Delegate
- Click Share.
Remove or Change Access
- Return to Sharing and permissions.
- Adjust the permission dropdown for the user, or click the trash can icon to remove access.
