If your employee has been added in UKG but not appearing in Toast after 48 hours, double-check the information below before sending in an HR ticket.
Ensure Complete UKG Information
Verify that all necessary UKG fields are filled out:
- Primary Home Phone
- Primary E-mail
- Status is set to active
HR Approval
- Confirm if HR has approved any updates for the employee in UKG.
- Note: HR approval typically takes 24 hours. Once approved, it takes approximately 24 hours for the information to update on Toast.
Manager Account Setup
If the employee is a manager with a pending Toast invite, they cannot access Toast until they finish setting up their account.
Secondary Location Assignment
For employees working at secondary locations:
- Confirm HR has approved this request.
- If not visible in Toast after 24 hours of being approved, submit an HR ticket [link here].
Secondary Job Code Assignment
If the employee has a secondary job code:
- Confirm HR has approved this request.
- If not visible in Toast after 24 hours of being approved, submit an HR ticket [link here].
Note:
- If an employee is missing from Hot Schedules, ensure they are in Toast first.
- Before sending a ticket, verify all of the above steps have been completed.
- NEVER manually enter or update employee information in Toast as this will break the integration, causing issues across multiple departments, including Payroll.
